Refunds and cancellations

Scope

These terms apply to paid consultations with Workspace Haven Consulting Co., Ltd.: Operational Planning Engagements, Capacity Reviews, Process Mapping, and Partner Advisory Retainers. They do not cover products we do not sell.

Deposits

Fixed-fee engagements typically require a deposit stated in the engagement letter (often 30–40% of the project fee) to reserve discovery dates. Retainers are invoiced monthly in advance.

Cancellation by the client

• More than 14 days before the first discovery day: deposit refunded minus any non-recoverable preparation costs already incurred and itemised.
• 7–14 days before: 50% of the deposit may be retained.
• Fewer than 7 days before, or after discovery has begun: deposit is non-refundable; work completed is invoiced on a time basis up to the agreed fee.

Rescheduling

One reschedule with at least 7 days’ notice is usually accepted without charge, subject to consultant availability. Later or repeated reschedules may incur a fee for diary disruption.

No-shows

If agreed workshop participants fail to attend without notice, that session is treated as delivered for fee purposes. A replacement session may be offered at an additional charge.

Work already started

Once interviews or observation have begun, fees reflect completed stages. Partial refunds, if any, apply only to unused later stages and are calculated case by case.

Retainers

Monthly retainer fees are non-refundable once the month has started. You may cancel with 30 days’ written notice after the three-month minimum; unused future months are not charged.

Purchased materials

If an engagement requires specially purchased workshop materials or room hire at your request, those costs are non-refundable once ordered.

Refund method and timing

Approved refunds are returned to the original payment method within 14 business days of written approval. Bank transfer fees charged by intermediaries are deducted where applicable.

Exceptions

If we cancel an engagement for reasons within our control and cannot offer a suitable alternative date, you may choose a full refund of amounts paid for undelivered work.
